Certificates, attestations and applications

Here is an overview of often requested forms and applications in alphabetical order.

Generally, the Registrar’s Office holds all your central data if you are enrolled at RUB. But the Registrar’s Office isn’t the right place to go to for all certificates, attestations and applications. For example, your faculties’ examination offices are usually responsible for all subject-specific certificates and those related to your academic achievements.

Before your studies

Classification certificate (Einstufungsbescheinigung) for enrolment in or application for advanced semesters

With the classification certificate (Einstufungsbescheinigung), which is issued or filled out by the respective faculty, you can apply for or enrol in the accordingly certified advanced semester. Whether you have to first apply online or whether you can enrol online directly depends on a possible restricted admission.

Application for admission to studies without a school leaving certificate (vocationally qualified persons)

At the Ruhr-Universität Bochum you also have the option to apply for studies without a school leaving certificate (Abitur). To do so, please submit your written application in advance to the Admission Office by 01.10. for a summer semester by 01.04. for a winter semester. All documents required for the application can be submitted as PDF attachment via e-mail to zulassungsstelle@uv.rub.de. Bafög application → Akafö

The Akafö is responsible for Bafög funding (financial student aid) for RUB students.

Guest auditor (application) → Enrolment Office

You can find the application and all information about guest auditors (Gasthörerschaft) here.

Special application (Sonderantrag) in the online application

Some application groups can improve their chances in the admission procedure or even have their own quota in the admission procedure, provided that you submit a corresponding special application (Sonderantrag). You have the opportunity to do this in the online application. Please note that for the following special applications you have to upload corresponding evidence by the end of the application period: Compensation for Disadvantages (Nachteilsausgleich), Hardship Application (Härtefallantrag), and Top Athletes (Spitzensportler*innen). For the application for preferential admission and possible consideration in the quota for minor applicants, the proof only has to be uploaded, in case of admission, at the time of enrolment.

During your studies

Change of first name and/or gender entry (application form) → Registrar's Office

Leave of absence due to study abroad (application form) → Registrar's Office

You can find the application form and all information about leave of absence here.

Certificates of academic achievement → Examination Office / eCampus

The respective examination office is responsible for this.

You can find the responsible examination office on the corresponding faculty website.

If entered, you can find your data via eCampus.

Reimbursement of social contribution/ semester ticket → Asta or Registrar's Office

In certain cases, the social contribution or the semester ticket portion of the social contribution can be refunded.

Depending on the case, either the Registrar's Office or the Asta are responsible.

We recommend that you thoroughly inform yourself on the Asta page as well as on the page about re-registration and social contribution in order to assess your own case and to apply for a refund correctly.

Notification of pregnancy (Schwangerschaftsanzeige) → Registrar's Office

The application form for notification of pregnancy (Schwangerschaftsanzeige) and information on maternity protection for students can be found here.

Semester break certificate for the lecture-free period → Registrar's Office

There is no official certificate for this.

If your employer requires proof from you as a student employee or working student so that you can work more hours during the lecture-free period (often called semester break), submit the official semester deadlines with reference to the lecture period in conjunction with a current certificate of enrolment.

If this is still not sufficient, describe your concern via your RUB e-mail address to stud-sekretariat@uv.ruhr-uni-bochum.de - with a stamped deadline slip (which includes the lecture period), the Registrar's Office can, if necessary, indirectly "officially" certify the lecture-free period for you.

Certificate of enrolment → Registrar's Office / eCampus

If you have paid your social contribution on time and in full, the Registrar's Office will re-registrate you and you can download/print your certificate of enrolment via eCampus - your personal data for the bank transfer can also be found at eCampus.

Exchange of study places (Medicine)

One possibility to obtain a study place at your desired university location is the application for an exchange of study places (Studienplatztausch). This is only possible in the degree programme Medicine. A exchange of study places involving more than two people is called a ring exchange. Please note that you and your exchange partner(s) must be enrolled in the same degree programme and in the same semester. Notification of accident/ accident report (Unfallanzeige/Unfallmeldung) → Akafö

An accident or commuting accident that is related to your studies and requires medical treatment has to be reported to the Akafö.

Exmatriculation (Application form) → Registrar's Office

Transcript of Records → Examination Offices/eCampus

You can print out the preliminary Transcript of Records via eCampus - the respective examination office is responsible for the contents.

Clearance certificate (Unbedenklichkeitsbescheinigung) → Examination Office

A clearance certificate (Unbedenklichkeitsbescheinigung) can be issued by the examination office if the study program has not been definitively failed. This is a confirmation that is required when changing universities if the new course of study is related to or the same as the previous course of study. The certificate serves as formal guarantee for the new university that changing students have not lost their examination entitlement.
